1. About This Policy

BrokerPilot is a property business management platform for property brokers, real estate agents, brokerage firms, authorized team members and, where applicable, customers with limited access. This Policy applies to the BrokerPilot mobile application, website and related services.

2. Information We May Collect

Account and profile information

• Name, mobile number, email address and login identifiers
• Business name, office address, designation, profile image and logo
• Account, role, team and subscription information

Lead and customer information

• Customer or lead name, contact information, preferred location and budget
• Property requirements, lead source, status, notes and follow-up history
• Site visit, feedback, booking and transaction-related records

The user entering customer data is responsible for obtaining any authorization or consent required to collect and use it.

Property information

• Property type, location, price, area, configuration and availability
• Owner, builder or developer details provided by an authorized user
• Property photographs, videos, descriptions, brochures and documents

Device permissions and uploaded content

When required by a feature and permitted by you, the App may access the camera, photos, media, files, notifications, contacts or location. These may be used to upload property media, capture documents, select a contact, show a property on a map, record a site visit, send reminders or provide another user-requested function. Permissions can be withdrawn in device settings, but related features may stop working.

Technical and usage information

We may process device type, operating system, App version, IP address, login and activity logs, error reports, diagnostic data and feature usage for security, support and service improvement.

3. How We Use Information

• Create, authenticate and manage accounts
• Provide lead, customer, property, follow-up, site visit and booking features
• Store, organize and display information submitted by authorized users
• Send reminders, account alerts, OTPs and service communications
• Provide support, prevent misuse, troubleshoot errors and improve performance
• Generate reports and business insights
• Process user-requested property descriptions, images or videos when AI features are used
• Comply with applicable law and enforce our Terms

4. AI Features

Optional AI features may process prompts, property details, photographs or other content submitted by you to create property-related descriptions, captions, images, posters or reels. This information may be processed by authorized technology providers solely to deliver the requested function. Do not submit confidential or sensitive information that is unnecessary, and review generated output before use because AI output may be inaccurate.

5. Sharing of Information

We do not sell or rent Personal Data. Information may be shared with authorized hosting, storage, notification, analytics, maps, payment, communication or AI service providers; with authorized members of your brokerage account; when you direct us to share it; during a lawful business transfer; or when disclosure is required by law or necessary to protect rights and security.

6. Data Security

We use reasonable administrative, technical and organizational safeguards intended to prevent unauthorized access, loss, misuse or disclosure. No electronic system is completely secure, so absolute security cannot be guaranteed. Users must keep passwords and OTPs confidential and report suspected unauthorized access promptly.

7. Data Retention

We retain data only for as long as reasonably necessary to provide the Service, maintain records, resolve disputes, prevent fraud, enforce agreements and meet legal requirements. Deleted information may remain temporarily in restricted backups. Anonymized data that no longer identifies a person may be retained for analytics.

8. Your Rights and Choices

Subject to applicable law, you may request access, correction or deletion of your Personal Data, withdraw optional permissions, or raise a privacy grievance. Some records may be retained when required for legal, security, fraud-prevention or dispute-resolution purposes.

9. Account and Data Deletion

You may use an in-App deletion option if available or email support@brokerpilot.in from your registered email with the subject “BrokerPilot Account Deletion Request”. Include your registered name and mobile number. We may verify identity before deletion. Deletion may permanently remove access to leads, properties, follow-ups, bookings, documents and generated content.

10. Payments

If paid plans are offered, payment may be processed by an app store or authorized gateway. We may receive transaction ID, status, plan and invoice details, but generally do not directly store complete card credentials, banking passwords or UPI PINs.

11. Children's Privacy

BrokerPilot is intended for adult property professionals and authorized adult customers. It is not directed to children under 18, and we do not knowingly collect their Personal Data.

12. Third-Party Services

External websites, maps, payment services, messaging platforms or property portals have their own privacy practices. BrokerPilot is not responsible for their content, availability or privacy policies.

13. Changes to This Policy

We may update this Policy when our services, technology or legal obligations change. The revised version will be posted here with a new “Last updated” date and additional notice where legally required.

14. Governing Law

This Policy is governed by applicable laws of India. Privacy requests and grievances will be handled under applicable Indian data-protection and information-technology requirements.
